Out of Hours Cover

The JANET Videoconferencing Service (JVCS) is based at Computing Services, the University of Edinburgh and offers a limited "out of hours" service. This augments the current out of hours system of scheduling conferences during Operational hours and leaving them to run without operator cover outwith that time. The out of hours service is:
- is subject to the availability of operational staff on the day in question;
- is limited to one conference per week;
- is intended for special 'one off' events, multiple bookings will not be accepted, e.g. several Tuesday evenings in a row;
- limited to only operational staff that are involved, there is no cover for specialist expertise, e.g. IP networking;
- dependant upon the organisation booking the videoconference to agree access, availability and costs of any studio facilities they require.
The current service feature of booking out of hours conferences 'at risk' will still remain. An 'at risk' conference involves the conference being scheduled during working hours, automatically starting and run for it's booked time without operator cover at the JVCS Management Centre. These conferences do not incur any additional out of hours costs.
Out of hours cover costs (ex. VAT) are:
| Monday - Friday 21.00 - 08.00 hrs | 43 pounds base plus 21 pounds per hour (min 2 hours) |
| Saturday 17.00 - Monday 08.00 hrs or public holidays | 43 pounds base plus 32 pounds per hour (min 4 hours) |
| Public Holidays: New Year's Day, Good Friday, Christmas Day and Boxing Day | 43 pounds base plus 32 pounds per hour (min 4 hours) |
Any request for such cover must be in writing and accompanied by an order form from the booking organisation. Cancellation within less than 48 hours notice of the scheduled conference start time will attract the base fee. All requests and order forms must be sent to the following address:

The Management Centre does not accept any liability in the event of a conference failing for whatever reason. In the event of a conference failing, the agreed conference costs, including costs for extra hours worked by the operations staff at the Management Centre (agreed with the conference organiser as required) will be incurred.
The provision of out of hours cover will be reviewed regularly. If demand is sufficiently high, the limit in the number of conferences per week may be increased, or removed to be within the bounds of the standard service.
